Frontier One Vietnam Biometrics Co., Ltd. (“Frontier One Vietnam,” “we,” “us”) is committed to protecting your personal data. This Privacy Policy explains what data we collect, how we use and protect it, who we share it with, and your rights as a data subject under Vietnam’s Personal Data Protection Law.

2. The Data We Collect

a) Contact information ((when you submit a form or contact us): full name, phone number, email, the country you need a document for, and the content of your inquiry.

b) Service information (handled at your appointment): personal identification details, identification documents (passport, Citizen Identity Card, etc.), and fingerprints / biometric data.

Important — we do not store your fingerprints or identification documents. Fingerprints are captured onto the fingerprint card, and your identification documents are checked only at your appointment, while you are present, in order to prepare and submit your application. We then hand the card to you or send it on your behalf, and we do not retain your fingerprints or identification documents afterward.

c) Website information: cookies and basic technical data (see Section 8).

Some of the above is sensitive personal data (biometric data, identity-document images, and criminal-record information). We only process it with your explicit consent and for the specific purposes described below.

Why We Use Your Data

• To advise you and respond to your requests;
• To provide fingerprinting, RCMP / FBI criminal record check, Apostille, and Authentication services;
• To prepare, submit, and track your applications with the competent authorities;
• To receive and deliver your results;
• To comply with legal obligations.

We do not sell your personal data, and we do not use it for purposes beyond those you have consented to.

4. Legal Basis

CWe process your personal data based on your consent, and where applicable, to perform a service contract with you or to comply with legal obligations. Your consent is voluntary, specific, and informed, and you may withdraw it at any time (see Section 7).

5. Who We Share Your Data With

To deliver our services, we may share your data with:

• Frontier One Inc. (Canada) — our partner for application processing;
• Competent authorities — the RCMP (Canada), the FBI (USA), and Apostille / Authentication authorities;
• Courier and delivery providers — to send and receive documents;
• CGovernment agencies — kwhere required by law.

We share only the data necessary for each specific purpose, and we require our partners to protect your data.

6. Cross-Border Data Transfer

Because our services involve criminal record checks and document processing in Canada and the United States, your data — including sensitive data — may be transferred to and processed in those countries. We apply appropriate measures to protect your data during transfer and comply with the cross-border transfer requirements of Vietnamese law.

7. Your Rights

Under Vietnam’s Personal Data Protection Law, you have the right to: access your data; request correction; request deletion; withdraw consent; object to or restrict processing; and request information about how your data is processed.

9. Data Retention & Security

We do not retain your fingerprints or identification documents. These are used only at your appointment to prepare and submit your application, and are then handed to you or sent on your behalf. We keep only the minimal contact and service records needed to provide our service and meet legal obligations, and we delete or de-identify them when no longer needed. We apply appropriate technical and organizational measures — including access restrictions and secure handling — to protect any data we do process, with particular care for sensitive data.

10. Data Breach

If a personal data breach occurs, we will handle it and provide notifications in accordance with the timelines and requirements of Vietnamese law.
